Creating custom notifications in PitneyShip Pro, PitneyShip Enterprise, PitneyTrack Asset, PitneyTrack Inbound, PitneyTrack Enterprise, and the Locker Management Module

You can send customized email and text notifications to inform users when certain events occur.
- Select the notification method and condition
- Set the schedule
- Create the message
- Delivery exception notifications
Select the notification method and condition
- Select Settings > Notifications and Templates.
- The system comes with several predefined templates that you can edit to customize them for your needs. To use a template to create the notification (recommended), select the edit icon next to the template you wish to use.
- (Optional) To send a test email for up to ten email addresses, select the Test Email icon next to the template you wish to use.
- To create a new notification without using a template:
- Select Add Notification.
- Enter the notification Notification Name.
- Under Send Via, check the Email or SMS Text box.
- Select the Type of notification. The options you see may vary depending upon your subscription. If you have any questions, contact your administrator.
- Select the Status Triggering the Notification. This is the activity that will trigger the notification to be sent, such as a package being shipped or delivered.
- Select Continue.
Set the schedule
- From the Schedule menu, select when the notification will be sent.
- If you wish to send reminder emails, select Send Reminder, then choose when you want to send them.
Note: Reminders are not available for the Delivered condition. - (PitneyTrack Enterprise only) If you see the Notification Visibility section, you can limit notifications to a specific division, location, or site. Select Division, Location, or Site, then select the desired one from the menu that appears.
Create the message
- Select your Default Language.
- In the Email Subject field, enter or edit the email subject line.
- (Optional) In the Reminder Prefix field, enter the text that you would like added to the beginning of the email subject line for reminder messages. For example, "REMINDER: ". This field is only visible when Send Reminder is selected.
- Enter or edit the body of the message in the large message field. To insert dynamic text such as the recipient's name, select </> Insert Variable Data Field, then select the desired item.
- To edit the HTML code of the message, select </> Edit HTML.
- To see an example of how the message will look, select Show Preview. Scroll down to see the preview. Select Refresh Preview to refresh the preview after making changes above. Select Hide Preview to close the preview.
- Select Save Notification.
- To change the From name to something other than "Pitney Bowes", select the Preferences tab and enter the name you wish to use in the "Sent From" Label field. The notification emails will still come from [email protected]; only the name will be different.
- To change the Reply to email address to something other than [email protected], enter the desired address in the "Reply to" email address field. The notification emails will still come from [email protected], but if someone replies to an email notification, the reply will go to this address.
SMS Text
Text notifications are only available if your subscription includes that feature. Text notifications can only be configured for Receiving (PitneyTrack Inbound). In order for text notifications to be sent to a recipient, the Send SMS Notifications setting must be enabled for that recipient in the address book.
- In the SMS Intro field, enter or edit the first line of the text message.
- (Optional) Select Load Sample Message to fill in the message with a sample message that you can then edit.
- Enter or edit the body of the message in the large message field. To insert dynamic text such as the recipient's name, select </> Insert Variable Data Field, then select the desired item.
- To see an example of how the message will look, select Preview SMS Text. Scroll down to see the preview. Select Preview SMS Text again to close the preview.
- Select Save.
Undelivered Messages
Select the Undelivered Messages tab to view a list of undelivered emails and text notifications for up to the past three months.
Delivery exception notifications (PitneyShip Pro and PitneyShip Enterprise only)
You can have email notifications sent to the recipient, sender, or both if there is a carrier exception such as a weather delay, delivery failure, damaged package, or lost shipment.
- Select Settings > Notifications and Templates.
- Select the Exception Notification tab.
- Select the edit icon next to the Tracking Exception notification.
- Choose whether you want the notifications to be sent to the recipient, sender, or both.
- Select Continue.
- Select your default language.
- In the Email Subject field, enter or edit the email subject line.
- Enter or edit the body of the message in the large message field. To insert dynamic text such as the recipient's name, select </> Insert Variable Data Field, then select the desired item.
- To edit the HTML code of the message, select </> Edit HTML.
- To see an example of how the message will look, scroll down and select Preview Email. Scroll down to see the preview. Select Preview Email again to close the preview.
- Select Save Notification.
